Sending Customer Reports in Acumatica 2020R1

Here is the scenario I ran into:

A client was running into issues when trying to run customer statements.

The Solution

Preparing Customer statements is a really nice feature in Acumatica.  However, there are some tips and tricks that will make sure you get what you are expecting.

Let’s start with Statement Cycles (Receivables —> Preferences —> Statement Cycles OR AR2029PL form)

Do you send out statements once a month or more often?  If this pertains to you, you will need to ensure that you have the correct statement setup, which and may include multiple statement cycles and/or difference cycles for different customers.  In my example below I have two statement cycles, one for end of month customers and one for customers that I want to send bi-monthly statements to.

Once statement cycles are in place, we next move to Customers (Receivables —> Profiles —> Customers OR AR3030PL form)

On the General Info tab, ensure that the Statement Cycle ID field has the correct Statement Cycle selected for the customer.  Without this step, you will not get any statements generated.

If you apply overdue charges to your customers, ensure that the apply overdue charges box is selected.

On the Billing setting Tab, in the print and email settings sections ensure that either send statements by Email OR Print Statements is selected.  Without this step, you will not get any statements generated.

Once the setup is in place, we move to Prepare Statements (Receivables —> Processes —> Prepare Statements OR AR503000 form)

Once you are in the process statements form, there may be a warning advising you to run Calculate overdue charges process prior to preparing the statements.

Once you are ready to prepare the statements, select the statement cycle, then the data corresponding to the statement cycle, and then click on process. Without this step, you will not get any statements generated.

Once processed you will see the following.  Click on the close button.

Finally, we can move to Print Statements (Receivables —> Processes —> Print Statements OR AR503500 form) 

Select Email Statement or Print statements under actions, Select the statement cycle and select the statement date. Once you enter these parameters you should get something like what you see below

I like to run one final check, to make sure I have not missed anything.  This is also useful if you do not get any data populated when you print your statements.  Select the show all option as shown below.

When you do that you may get further data that may not have shown before.  Notice in the image above I found some customers for whom neither send statements by Email NOR Print Statements is selected for the customer in the customer master data.

With these tips and tricks, you should have no problem running your statements.
